Using reports is a great way to quickly oversee business processes. That’s why in Tachogram we’ve created ten different reports to help you conveniently view your fleet’s most important tachograph data. In this blog, we’ll describe what types of reports Tachogram provides and how they can help you manage your business.

Driver risk rating report

The Driver risk rating report lets you see all the regulation infringements your drivers have committed in a selected period. What’s more, a risk rating is assigned to each driver based on how serious the infringements have been. Therefore, you can easily see the risk trends over time, spot any problems early on and talk them out with your drivers if necessary.

Work-time reports

Seeing exact working times can help with salary calculation and workload management. In Tachogram, there are three reports that help you track driver work time. Work time summary per driver in weeks shows a driver’s work time categorized by time of day – day time, evening time or night time – and displays it in weeks. You can change what the system considers as night or evening time in the Report Configuration section in Settings.

The Work time summary per driver report is similar. The difference is that it shows the drivers’ working time in days and offers a bit more details such as the start and end country of each shift and a short summary of sick days, free days and holidays.

In the Work time monthly summary all drivers report you can see the working hours of all your drivers for the selected month. Since there’s more information than in the other work time reports, for your convenience it’s only available as an Excel or PDF file.

File download reports

Accurate tachograph data management is a must to comply with international regulations and avoid costly fines. File download reports help you make sure that in your company it’s done accordingly.

The Driver downloads status report shows you when was the last time each driver downloaded their driver card data and whether that’s in compliance with international driving and rest time regulations. In case too much time has passed in between downloads, the driver’s name will be coloured red. If everything is ok, the name will be green. However, if the time for the next mandatory download is coming up, it’ll show up yellow as a reminder.

Vehicle downloads status report works in a very similar way, but with vehicle files instead of driver card files. According to the EC Regulation No 561/2006, driver card file downloads must be done at least once every 28 days while vehicle files must be downloaded at least once every 90 days.

The regulation also stipulates that driver card files must be stored for at least two years. In case, any files are missing, your company risks facing large fines. Driver file download summary report can help you avoid that. It displays a red triangle next to drivers with missing files and shows you the exact periods for which the files are missing. You can also add the missing files by simply clicking on the periods in the graph. Vehicle file download summary report does the same for vehicle files.

DDD file archive report allows you to download all of your files at once or download files that cover longer time periods. Companies rarely use it for day-to-day operations, however, it’s very helpful if you need to provide data to the authorities in case of a company-wide check.

Other useful reports

These are reports that don’t help with file management but are useful in other ways. Kilometres per vehicle report lets you see how many kilometres each vehicle has covered in the selected period according to the tachograph data. This data can help you in managing and planning vehicle workloads.

The Tachograph calibration report lets you conveniently keep track of the upcoming tachograph calibrations. Finally, there’s the Travel allowances per driver report. It shows the amounts of travel allowances to be paid to your drivers. Just keep in mind while using this report that it’s based on tachograph data, which indicates only the start and end country of a shift. Therefore, if a driver has crossed multiple countries during one shift, it may be inaccurate. Please also note that this report might not be available in some regions.
